Here are the notes from the Committee meeting held on Thursday, 8 November.
Apologies for absence - Rob, Rob and Paul.
1. Committee roles were discussed and it was agreed to hand out copies of the role descriptions at the November meeting. This is to inform members, who may be interested in standing at the AGM, what each job entails.
Darren also expressed a need for greater communication between committee members and general club members to avoid confusion as has happened this year.
2. Welcome packs for new members - Simon is to investiage prices for stickers that can be included in the packs.
3. Membership fee is to remain at £5 per person per year.
4. Training days - Josie is still preparing arrangements for training days to help members that wish to learn more about looking after their minis. We have been offered use of a workshop by Matt and Lisa and hope to have something in place early next year.
5. Darren is to make arrangements for the club to attend London to Brighton. Dave is to make arrangements for the club to attend Riviera Run and Castle Coombe.
6. Rob to order 2nd cheque book and paying in book.
7. Darren is to confirm discounts that we have with various suppliers/services to be included in a flyer for members.
8. Christmas party has been confirmed at 24 November at Polegate Community Centre, Windsor Way, Polegate.
9. Merchandise is to be paid for with club funds, with purchasers repaying the club. A new committee role is to be created for the merchandise co-ordinator.
10. Ian expressed a need to clarify the difference between a forum member and a full club member. Darren will make the necessary adjustments to the forum to reduce the confusion.
11. Forum name and email addresses to be added to the membership database spreadsheet. This information is only available to the committee and is not used for any purposes other than contacting the members listed.
12. EDMC Pilgrimage - the committee agreed to support the Lee Spark NF Foundation, though this will be put to a formal vote at the AGM.
