I thought I would take this opportunity to list the roles of the committee, and what each involves, in preparation for the AGM in December. As stated in the club constitution, all committee members stand down at the AGM and nominations are invited for each role and then voted on by members present.
Chairman
As Chairman of the club, you have to take responsibility for sorting out any matters which may need addressing eg. Dealing with members problems, complaints etc... You have to chair the meetings, so good communication and diplomacy are an advantage. You need to be an ambassador for the club to attract new members and keep the old members happy. You need to be able to listen to members views and take into account the differing views of the different members. You have to present these views and ideas to the committee and take into account the differing views of the committee and reach a conclusion to best meet the interests of the majority of the club. You need to be non-judgmental. You have to support the committee and ensure that responsibilities are shared equally amongst the committee members. The buck normally stops with the Chairman.
Secretary
This is an administrative position. The secretary takes minutes from each committee meeting and from the AGM. They would also prepare agendas for the AGM and all committee meetings. They would type up letters from the Chairman and other committee members if required. The secretary is responsible for ensuring that the club's insurance is up to date and any other official paperwork that needs to be written. The secretary is usually a signatory on the clubs bank account.
Membership Secretary
The membership secretary is responsible for updating membership data base, sending out membership cards and collecting membership fees which are passed on to the treasurer. Accurate records need to be maintained.
Newsletter co-ordinator
You would be responsible for producing the monthly/bi-monthly newsletter. This would involve writing articles following participation in shows and events and listing up-coming events. Important deadlines for events would also need to be included. The newsletter is for all members and fresh ideas will always be welcome.
Treasurer
The main purpose of this job is to take charge of the club finances. To receive monies and pay out monies according to proper accountancy rules and to keep proper records of all transactions. Duties are to maintain a current bank account in the clubs name and ensure all monies received are paid into that account without delay. To ensure that all requests for money to be spent are properly authorized by the committee and that receipts are obtained. To keep the committee notified of all expenditure and income and the clubs account balance.
Events co-ordinator
This role involves contacting event and show organizers to obtain entry details and making the necessary bookings. These events can be both local and national and should cater for the varied interests of the members. Organization of larger events may be delegated to individual club members, with the events co-ordinator offering assistance where required. In such instances the events co-ordinator needs to be informed of booking progress so that the same job isn't done twice in error.
Club stand co-ordinator
This main purpose of this job is to co-ordinate with members to make club stand ideas into a reality. This would involve gathering ideas, creating, building and transporting the stand. You would not be expected to do all the work yourself, but delegate the necessary tasks to interested members.
Web editor
The club website helps us communicate with current members, potential members and those just visiting. As web editor you will be responsible for keeping this information correct and up to date. Training and software will be provided.
Forum administrator
Responsible for maintenance of the forum, keeping the calendar up to date and monitoring and dealing with abuse and administration of all users.
I would also like to take this opportunity to ask for opinions about the creating of the role of press/communications officer. This would involve contacting relevant magazines and local newspapers to boost the clubs profile. This could include upcoming events such as the Pilgrimage or reports on shows and events the members have participated in. It could also include fun items that may be of interest to readers.
I hope that this has gone some way to clarify each role within the committee. Several current committee members have already stated that they will not be standing at the AGM, so if you are interested in taking up one of the roles, feel free to contact any current committee member for more details.
